GW Libraries Status Under Adverse Weather Conditions

(Effective January 2015)

Adverse weather conditions may cause the university to make changes to its operating status.

University status information is available online and at 202-994-5050, or at 571-553-8333 for VSTC.

When the university announces a change in status, employees should call the Library Hours line at (202) 994-6845 or check the GW Libraries website to determine the status of the Library.

1. Classes Canceled

When the University cancels classes without announcing administrative office closure or liberal leave, GW Libraries will proceed on normal operating schedules for daily operation. Those who work evening and overnight shifts will be contacted if any changes are made.

2. Liberal leave policy in effect

Library service desks will attempt to open on time.

Staff who are not designated or essential staff may take annual leave without advanced notice. Those without annual leave may take leave without pay. Supervisors should be notified.

Designated and essential staff should follow the directions of their supervisor. Generally, designated staff are expected to come to work as needed for the operations of the library. Essential staff are expected to be available online as needed for the operations of the library.

Guideline: Wage hour employees are paid for the hours they work; however, additional hours may be arranged with their supervisor for any missed time.

3. University delays opening

With the exception of Entrance Services, all staff should plan to arrive when the university opens, and work the rest of their normal schedule.

If the Library was open overnight, Entrance Services staff should try to arrive by 8:00 a.m. to relieve overnight staff. If the Library was closed overnight, Entrance Services staff should arrive in time to prepare the building for the designated delayed opening time.

Guideline: For any portion of the day that the university is not open, staff that usually work during that period will be paid for that time. If their schedule is set for the afternoon, and the university is closed in the morning, but open in the afternoon, then they work their entire shift. Wage hour employees are paid for the hours they work; however, additional hours may be arranged with their supervisor for any missed time.

4. University Administrative Offices Closed

Non-Exempt staff who have not been identified as designated or essential staff should not come to work. Regular (nonwage) staff will be paid for a regular day.

Designated and essential staff should follow the directions of their supervisor. Generally, designated staff are expected to come to/remain at work as needed for the operations of the library. Essential staff are expected to be available online as needed for the operations of the library. Regular (non-wage) staff will be given compensatory time off scheduled in consultation with their supervisors, which they must take within 60 days. The Library will attempt to be open reasonable operating hours with the Check-out, Help, and Entrance Desks staffed. LIT and Reference will attempt to provide remote support.

VSTC Library will follow the Virginia Science & Technology Campus response to adverse weather.

Exception: During the winter break, the Library will not open when the University announces Administrative Offices will be closed.

Notification

When adverse weather causes a change in the Library’s schedule, the GW Libraries web page and hours tape will be updated as soon as possible to reflect that change in status. Staff have been designated who can make these changes from home as needed.
